How to Protect a PDF with a Password
Password protection can add an opening-password step before a PDF is viewed in compatible reader software. The recipient still needs the password, and encryption does not prevent an authorized recipient from copying content.
When this is useful
Use this when a recipient needs a password to open a PDF and you are authorized to protect the document. Consider whether the recipient's PDF software supports the generated encryption.
Steps
Review the PDF and confirm that it is the copy you intend to share.
Open Protect PDF, select the source, then enter and confirm a password between 8 and 128 characters.
Include at least one letter and one number, and use a unique password not used for another account.
Download the protected copy and test it in a PDF reader before sending it. Share the password separately through a trusted channel.
Important considerations
- The tool does not store a recovery key for you. If the password is lost, access may not be recoverable.
- PDF permissions and password prompts vary between readers. Password protection is not a substitute for secure recipient access controls.
If something goes wrong
If confirmation fails, enter the same password in both fields. If the protected file will not open, check the exact password and try a compatible PDF reader.
